About Norlys

Norlys is a Danish Energy and Telecommunications company, a merge between the two Danish companies, Eniig and SE.

The company now has around 2.500 employees and deals with more than 1.5M customer relations, which makes it the biggest Energy and Tele company in Denmark.

Our dialogue with Norlys originally started at Eniig, before the merge officially was announced.

The Challenge

At Eniig there had been a growing need to eliminate the number of tools and platforms the company used to manage its projects. With two different project management tools, several document management systems, and emails and excel spreadsheets on top, cross-departmental collaboration was becoming inefficient and cumbersome.

One of the project management systems was fairly new, but Project Managers started to grow frustrated with the unnecessary complexity of their work. It increased waste time, clouded the overview, and created too many “ways of doing the same work”.

Eniig started to look for alternative solutions and were recommended Projectum as their PPM partner.

NORLYS SEES THE LIGHT

The merge of the two companies Eniig and SE, began to take shape during the dialogues between Eniig and Projectum, and this also impacted the collaboration. Suddenly, the implementation of a new system didn’t just involve one department in one company, but stakeholders from two companies. A Merger Office was set up to manage the merge in the right direction. This added some complexity to the system implementation, which initially had seemed somewhat straightforward.

We had quite a lot of workshops and our scope changed as we got along the way, and when the Merger Office was included, we had to add more workshops. I think we ran these sessions for about 6 months. […] There is no doubt that we came to a realization about how much time these things can take, but I think that we had a great dialogue both internally and with you (Projectum), and you added the realism, which made sure our expectations were matched during the entire process.

On-boarding

Norlys chose Microsoft Project Online as their platform for project and portfolio management. The solution was on an organizational level and as the organization suddenly more than doubled in employee numbers, it demanded a lot from the implementation team. To secure a successful onboarding, a number of training workshops were set up between users and Projectum consultants. These sessions included “how-to” sessions, user guides, and more high-level sessions on why and how to get the most out of the new PPM solution.

The onboarding process generated a lot of positive feedback and it gave the users a sense of involvement, which was imperative for the success of the implementation of the system.

The Outcome

The implementation of the Project Online platform was the primary goal for Norlys. They needed a common platform for the entire organization. A platform that would increase project and portfolio managers’ efficiency to work smarter and more effective. The implementation ended in the late summer of 2019, which means that at the time this case was written, Norlys was still in the very beginning of their usage of their new platform. It is therefore too soon to talk about the results of their new platform, but Cecilie, who was the main driver on the implementation from Norlys has no doubt about the potential. With the implementation of Microsoft Project Online, integrated with Power BI, the database is now reliable and trustworthy and it makes managers able to make quicker and more precise decisions. Collaboration and communication runs much smoother and the transparency across teams and units is enabling a higher rate of project success. 

The Future

Norlys is far from done. Together with the implementation of Project Online, Norlys also got Team Planner installed. The actual implementation and onboarding of Team Planner started in the beginning of 2020.

Norlys also have ambitions on finetuning the current Project Online solutions with Power Apps and integrations to Microsoft Teams. Norlys will continually build and add functionality and information to their reports in Power BI.
